AI Can Answer Questions About Your AV System. But Should It Be Allowed to Act?

THIS IS A PROMOTED POST

AI has gotten remarkably good at finding information, analyzing data and helping people make decisions. Across the enterprise, organizations are now exploring the next step: AI agents that don’t just provide answers but can initiate workflows and take action.

For AV and IT teams, that raises an interesting question: What would it actually take for an AI agent to understand and act across an enterprise AV fleet?

That question will be at the center of the AV Cloud Summit Fall 2026, powered by Xyte, on Oct. 14. The virtual event will bring together AV, IT and technology leaders to examine what needs to happen before AI can move from answering questions about an AV environment to taking approved action within it.

The AV Fleet Has a Context Problem

Consider a relatively straightforward request: Which meeting rooms are experiencing recurring device issues?

Getting a useful answer isn’t so straightforward. An enterprise may have thousands of devices spread across rooms, buildings and campuses, with equipment from multiple manufacturers managed through different platforms.

For an AI agent to understand that environment, it needs reliable device data and the context surrounding it. But understanding the fleet is only the beginning.

If AI identifies an issue with a conference room device, should it be able to reboot it? Open a support ticket? Change a configuration? Notify a technician?

That’s where the conversation quickly shifts from AI capabilities to governance.

From Answers to Approved Action

The distinction between knowing what should happen and having permission to make it happen is one of the challenges emerging as AI agents enter enterprise technology environments.

At AV Cloud Summit Fall 2026, industry leaders will explore the permissions, approvals and audit trails necessary for AI agents to operate safely across AV systems. The discussion will cover connecting multi-vendor device data and controls, giving AI enough context to investigate problems and establishing guardrails around what an agent can and cannot do.

Rather than asking only what can AI do?, the conversation will look at what organizations need to put in place before they’re ready to let it act.

Bringing AV and IT Perspectives Together

Gary Kayye, founder of THE rAVe Agency, will be joined by Patrick Gilligan of OpenAI, Dean Smith of Pittwater, David deGruy of Sphere Audio Visual, Robert Parsons of Taurus Technologies, Dennis Pappenfus of Audio Video Strategy Group, Kpana Will of American Water and Andrew Gross of Xyte.

The range of perspectives reflects the scope of the issue. Deploying AI across AV environments touches system design, IT infrastructure, device management, organizational policy and day-to-day operations.

What Attendees Can Expect

The AV Cloud Summit Fall 2026 takes place Oct. 14 at 10 a.m. PT / 1 p.m. ET and is approved for 1.0 CTS and CTS-D RUs.

The agenda will explore why enterprise AI still struggles to understand AV fleets, the challenge of connecting devices and data across manufacturers, governance around AI-driven actions and real-world perspectives from AV and IT professionals.

For technology managers, integrators, consultants and manufacturers, the Summit offers a chance to look beyond today’s AI features and explore the infrastructure, policies and workflows that could determine what comes next.
